Job Description

The HR Coordinator will be part of the Shared Service Center and provide administrative and systems support across the complete employee lifecycle. This is a highly process-driven role responsible for HR transactions, data management, onboarding support, HR reporting, compliance activities, and coordination of global HR programs. The role supports multiple regions and works closely with HR, Payroll, IT, and business stakeholders to ensure accurate and efficient HR operations.
Key Responsibilities
Employee Lifecycle Management
Process HR transactions including new hires, employee exits, promotions, transfers, compensation changes, and reporting line updates.
Maintain accurate employee records within HRIS platforms and shared systems.
Ensure timely and compliant updates to employee data.
Onboarding & Employee Support
Support onboarding activities through documentation preparation and system updates.
Coordinate onboarding requirements and employee setup activities.
Respond to routine HR inquiries and escalate complex issues to appropriate HR partners.
HR Operations & Administration
Administer global and regional HR programs including performance management cycles, engagement initiatives, and learning programs.
Coordinate HR communications, reminders, updates, and process instructions.
Maintain shared folders, templates, documentation, and HR records to ensure consistency.
Provide administrative support for HR meetings, including scheduling, agendas, minutes, and follow-up actions.
Reporting & Analytics
Generate HR reports and dashboards for HR leadership and regional teams.
Prepare PowerPoint presentations, process documentation, workflows, and reports.
Support data analysis and reporting requirements.
Recruitment Support
Assist with job postings, interview scheduling, candidate coordination, and recruitment administration activities.
Support hiring processes as required by HR and Talent Acquisition teams.
Cross-Functional Coordination
Collaborate with Payroll, IT, and regional HR teams to ensure smooth execution of employee-related processes.
Support employee changes related to acquisitions, mergers, integrations, and organizational updates.
Compliance & System Support
Participate in HR audits, compliance reviews, and data validation activities.
Support data migration, testing, and system updates during HRIS upgrades and process improvements.
Assist with maintaining compliance documentation and reducing data discrepancies.
Performance Measures
Accuracy and timeliness of HR data processing.
Compliance with HR service standards and operational processes.
Quality of reporting, documentation, and administrative support.
Stakeholder satisfaction and responsiveness.
Contribution to process improvement initiatives.
Positive audit outcomes and operational efficiency.
Required Qualifications
2–3 years of HR Administration or HR Coordinator experience.
Experience working within shared services environments or high-volume HR support functions.
Experience supporting global or multi-country HR operations.
Knowledge of Australian and New Zealand employment legislation.
Experience working with HRIS systems.
Strong Microsoft Office skills including Excel, PowerPoint, and reporting tools.
Advanced Excel skills including Pivot Tables.
Excellent written and verbal communication skills.
Strong organizational, analytical, and administrative abilities.
Ability to manage multiple priorities in a fast-paced environment.
Ability to handle confidential and sensitive employee information with discretion.
Positive customer-service mindset and global stakeholder support experience.
