Job Description
BruntWork is seeking a detail-oriented and organized Payroll Operations Associate (U.S. Payroll | HRIS | Multi-State Payroll) to join its Payroll Department. This role is responsible for supporting U.S. payroll operations by managing payroll administration, employee payroll support, benefits administration, payroll tax updates, compliance activities, and payroll documentation. The ideal candidate should be able to work efficiently under deadlines, communicate effectively with employees, and proactively identify and resolve payroll issues.
The selected candidate will monitor and manage payroll-related emails, employee inquiries, notices, and payroll documentation including PFL forms, VOE forms, PFML filing support, and related follow-ups. Responsibilities include preparing, reviewing, processing, and tracking payroll adjustments, employee payroll corrections, and union-related payroll adjustments, processing payroll tax withholding updates including W-4 changes, maintaining accurate payroll records, and supporting payroll processing while meeting strict deadlines.
The role also includes supporting employee onboarding through GoCo by setting up onboarding, maintaining employee records, and processing E-Verify. You will process new hire benefit enrollments including Flexible Spending Accounts (FSA) and 401(k) enrollment and contribution changes while maintaining payroll and benefits records.
Additional responsibilities include processing employee expense reimbursements and Concur imports, reviewing reimbursement requests for completeness and accuracy, maintaining payroll tax withholding records, processing federal, state, and local payroll tax deposits, maintaining documentation for payroll tax filings, audits, and reconciliations, updating union payroll information including union rates and payroll adjustments, maintaining organized payroll documentation, assisting with payroll audits and compliance reporting, preparing payroll reports, identifying payroll discrepancies, ensuring compliance with payroll regulations, and maintaining strict confidentiality of employee, payroll, tax, and benefits information.
Candidates should have a minimum of 2 to 3 years of experience supporting U.S. payroll operations. A Bachelor's degree in Accounting, Finance, Business Administration, Human Resources, or a related field is preferred. Experience with multi-state U.S. payroll, payroll adjustments, payroll tax withholding updates, payroll audits, compliance, payroll documentation, and HRIS platforms such as GoCo, ADP, Paylocity, Paycom, UKG, or Workday is required. Experience with Concur is preferred. Strong Microsoft Excel skills including VLOOKUP, XLOOKUP, Pivot Tables, IF statements, data validation, filtering, sorting, and reporting are essential. Knowledge of U.S. payroll processing, W-4 processing, payroll tax withholding, E-Verify, 401(k), FSA, PFL, PFML, payroll reconciliations, and union payroll administration is highly desirable. FPC or CPP certification is an added advantage.
